How we handle information, from a visit to this website to the record of a closed matter.
Who this policy covers
This policy explains how Takedown Bureau LLC (“Takedown Bureau”, “we”) handles information connected with this website and with the matters we handle. It covers six situations: browsing this website, writing to us, engaging us as a client, the evidence and authorization a matter relies on, correspondence with platforms, and the commercial records an engagement creates.
Browsing this website
This website is a set of static pages. It has no forms, no accounts, no analytics, no advertising and no tracking cookies, and it loads nothing from other hosts.
Like any website, the hosting infrastructure that serves it can record standard technical request data — such as the requesting IP address, the page requested, the time of the request and the browser’s user-agent string — to operate and protect the service. Security & data handling →
Email inquiries
When you write to one of our mailboxes, we receive what you send: your name, your email address, and whatever you choose to tell us or attach. We use it to answer you and, if you ask us to, to assess the matter you describe.
Client engagement information
If you engage us, we hold the information the engagement needs: your contact details, who owns the work and who may act for them, the works and suspected uses concerned, the written engagement agreement, and the written authorization for the matter.
Copyright evidence and authorization documents
A matter depends on evidence — the original work, where it was first published, each suspected copy and what connects them — and, when we act as a representative, on written authorization. We use them to review the matter and, where we file, to prepare the request.
This website does not collect evidence: it has no form and no upload control. Evidence and authorization documents reach us through separate communication channels, starting with email, and we tell you what a matter actually needs before you send it.
Authorization documents are not published. They may be provided to the relevant platform when appropriate or requested. Please do not send identity documents by email unless we ask for something specific. Never send passwords, and do not send card or bank details by email.
Platform correspondence
When we submit a copyright removal request, the information the platform requires goes to the platform. On YouTube, YouTube states that the copyright owner’s name may be shown publicly in place of removed content, and that the full legal name and email address supplied may be shared with the uploader. YouTube publishes how it uses this information. What reaches the person reported →
Correspondence with a platform about a matter — requests for more information, counter notifications, retractions — is kept with that matter’s case record.
Commercial records
We keep the records an engagement creates — the engagement agreement, invoices and payment records — to administer the engagement and to meet our accounting and legal obligations. Do not send card or bank details by email.
How information is shared
We share information only when a matter, or the running of the business, requires it, and only with the recipients that purpose needs — not every recipient below receives information about every matter:
- the platform a request is submitted to, such as YouTube, as described above;
- service providers that process information on our behalf: our website and email host, Hostinger, and the providers that handle payments and accounting;
- professional legal or accounting advisers, where needed;
- public authorities, where the law requires it.
We do not sell personal information, and we do not share it for advertising.
How long we keep information
We keep personal information, correspondence, authorization materials and case records only for as long as is reasonably necessary for the purposes we collected them for. Those purposes include providing the service you asked for, keeping an accurate record of each matter, handling corrections, retractions or disputes, protecting legal rights, and meeting legal, accounting or compliance obligations.
When information is no longer reasonably necessary for those purposes, it is deleted or securely disposed of under our internal procedures.
Your requests
You can ask what personal information we hold about you, and ask us to correct or delete it, by writing to privacy@takedownbureau.com. Some records cannot be deleted while they are still needed for the purposes above — the record of a request we submitted, for example — and we will tell you if that applies.
Changes to this policy
If we change this policy, we publish the new version here and update the date below.
